Cancellations as Covered by the Travel Protection Plan
Rest easy, because should you need to cancel for a covered reason, the cancellation penalty amount will be refunded by the Travel Protection Plan.
Cancellations for Any Reason Not Covered by the Travel Protection Plan
If you need to cancel your trip for any reason not covered by the Travel Protection Plan, you’ll receive a travel voucher good for a new reservation for future travel (valid for travel within 12 months of the date of issue, but no later than 15 months from the date your trip was canceled) for the penalty amount, with the balance of the refund returned to you by either check or credit card credit.
Medical Expenses and Emergency Evacuation
Don’t worry about having to pay for medical expenses if you fall ill or become injured while on vacation. You’re covered up to $50,000 for expenses such as doctor’s visits, hospital costs, and emergency care during your trip—even the cost of travel for a friend to join you if you are hospitalized 7 days or more while traveling alone, and up to $500,000 for medical evacuation.
24-Hour Emergency Assistance
English-speaking professionals are always available to assist you with medical or legal issues. They’ll even update your family and physician on your health, if desired.
If you need to cut your adventure short due to a covered emergency on-site or at home, the unused portion of your trip is covered. Take care of life’s important matters, whenever they occur.
Don’t worry about delayed or canceled flights due to inclement weather. If you experience a delay of more than 12 hours, you will be reimbursed up to $300 per day for hotel and travel expenses up to a maximum of $1,500.
Baggage and Personal Effects
Travel with the security of knowing your baggage and personal effects are covered up to $3,000. This includes lost or damaged bags, lost or stolen passports, and the unauthorized use of your credit cards.
Don’t sweat the small stuff! You’re covered up to $1,000 (for the purchase of sundries like shampoo and toothpaste and a change of clothes) if your bags are delayed 24 hours or more.
Extend your Coverage to Cover Third Party Air Arrangements
If you purchase Travel Protection for our adventure-only option—choosing to make your own air arrangements and perhaps using frequent flyer miles—you can now extend your Travel Protection to those flights. Your Travel Protection benefits begin when you leave your house, including trip cancellation or interruption, and baggage protection—and your frequent flyer miles are safe in case a situation arises along the way.
Frequently Asked Questions
O.A.T.’s Travel Protection Plan covers you if you must cancel your trip due to a covered illness or injury. A covered illness or injury must:
- Commence while the plan is in effect for you; and
- In the written opinion of the treating physician, be so disabling as to cause a trip to be canceled; and
- Require the examination and treatment by a physician at the time you cancel your trip.
Remember, it is required that you are seen or treated by your physician prior to canceling your trip. If there is an illness, injury, or death, the Attending Physician Statement (APS) MUST be completed. A note/letter from the doctor is not enough, unless it answers all the questions on the APS.
Pre-Existing Conditions are medical conditions for which there is treatment; or a recommendation for treatment, diagnostic test or exam; or for which drugs or medicine are prescribed during the 60-day period prior to your effective date are Pre-Existing Conditions. The policy excludes your Pre-Existing Conditions and those of a Traveling Companion or an Immediate Family Member traveling with you.
Exception: Medical conditions that are treated or controlled solely with medication and remain treated or controlled without an adjustment or a change in medication during the 60-day period prior to your effective date are not considered to be Pre-Existing Conditions.
IMPORTANT! The plan exclusion for Pre-Existing Conditions will be waived if:
- O.A.T. receives your plan payment within 14 days after you make your first payment for your Trip (Day 1 begins the day after 1st payment), and
- You are not already disabled from travel at the time O.A.T. receives your plan payment.
We realize that all travel protection plans have exclusions and limitations. That’s why we include the O.A.T. Cancellation Waiver Benefit with our plan.
The O.A.T. Pre-Departure Cancellation Waiver allows you to cancel your trip for any reason not otherwise covered by O.A.T.’s Travel Protection Plan and receive a travel voucher for the amount of any cancellation penalties that can be applied to any reservation that was booked on or after the date of the cancellation for arrangements provided by O.A.T. Travel Vouchers are valid for travel within 12 months of the date of issue, but no later than 15 months from the date your trip was canceled, for travel arrangements with O.A.T. Travel Vouchers are non-transferable and not redeemable for cash.
Please note: The O.A.T. Pre-Departure Cancellation Waiver does not cover penalties associated with air or other travel arrangements not provided by O.A.T. unless third party air protection is purchased.
Yes. You can purchase Travel Protection for the Small Group Adventure-only portion of your trip, and you can elect to extend that coverage to include your independently made air arrangements. You’ll be able to protect your tickets, frequent flyer miles, and more.
Please note: If you make air arrangements through a third party and extend your Travel Protection to cover those flights, you cannot recover your air costs through this plan if O.A.T. or Grand Circle cancels your departure dates, or if you initiate a departure date change. If you purchase O.A.T.’s international airfare and arrange third-party domestic airfare to your gateway city, you cannot extend your Travel Protection Plan coverage to that domestic flight.
A Traveling Companion, as defined under the terms of O.A.T.’s Travel Protection Plan, is an unrelated person you are traveling with and sharing accommodations in the same room or cabin during your trip.
If your Traveling Companion, as defined, cancels his or her trip for a reason* covered by O.A.T.’s Travel Protection Plan, you are protected in several ways:
- If you decide to take your trip, the plan will cover any occupancy upgrade charges which you might incur.
- If you decide not to take your trip, your cancellation penalties will be covered by the plan.
*Reasons include: injury or death to your traveling companion which occurs before departure on your trip; your traveling companion is quarantined, required to serve on a jury, or receives a court order to appear as a witness in a legal action; your traveling companion’s home or trip destination is made uninhabitable by natural disaster and will remain uninhabitable during your scheduled departure dates; your traveling companion’s place of employment is damaged due to natural disaster and you or your traveling companion are required to remain at work as a result; your traveling companion is called to emergency military duty following a natural disaster or terrorist incident.
To report a claim, you can call Trip Mate, the Claims Administrator, at 1-800-888-7292 (Customer Service Representatives are available 24 hours a day, every day). You can also report your claim online at www.tripmate.com by clicking on the “Claims” tab and using plan number A394B. The 30 day review time begins when Trip Mate receives the completed claim form. If you file an appeal/money dispute, you must supply additional documentation, receipts, etc. that were not sent with the original claim form.
The plan covers medical expenses resulting from an illness or injury during your trip. If you must be medically evacuated to another facility or home, these costs are covered as well.
The O.A.T. plan includes a 24-hour worldwide assistance service to help you with medical or legal emergencies during your trip. For medical claims, you must file with your primary health insurance provider. You must provide the Explanation of Benefits (EOB) from your primary health insurance provider before the claim can be finalized.
The plan covers expenses incurred during your trip for emergency dental treatment due to injury for up to $750. Expenses for emergency dental treatment incurred after the trip are not covered.
If you interrupt your trip for a covered reason, you are entitled to receive the following benefits (up to your O.A.T. trip cost):
- Reimbursement (less any refund paid or payable) for unused land or water travel arrangements; and
- Any additional air expense to: a) your return destination; or b) from the place you left the trip to the place you may rejoin the trip.
The plan does not reimburse the cost of the original air flight arrangements.
